Pages and the project overview

Keep briefs, brand guidelines, meeting notes and contacts next to the work.

Pages are for the words that aren't tasks: the brief, brand guidelines, meeting notes, who to call.

Writing a page

Open Pages in a project and choose Create page. Start blank or from a template: Project brief, Brand guidelines, Meeting notes, Client contacts, Logins & access, or Retrospective. A page can have sub-pages, one level deep. Use the arrows in the list to reorder.

Pages save by themselves a moment after you stop typing, and again as you leave: moving to another page, going back or closing the tab sends whatever is on screen. Your browser only asks before leaving if a save has failed or a colleague's version is waiting for your choice. If a colleague saved the same page while you were editing, you'll see their version beside yours and can keep either.

  • Type @ to mention someone. They're told once, not on every save.
  • Type a task reference such as DQS-142 followed by a space to link a task. The link shows the task's title and stage. People who can't open that task see "A task you can't see".
  • Image adds a picture and keeps it in the project's Files.
  • History lists earlier versions (the last 50) and lets you bring one back.
  • Hover a heading on a finished page to copy a link straight to it. Print gives a clean copy.

Turning notes into tasks

Open Create tasks from this page, tick the checklist lines or list items you want, pick a board and choose Create tasks. Each line is replaced by a link to its new task.

Who can see pages

Everyone on the team can read every page. Anyone who can create tasks can write pages. Project managers can delete and restore pages, and decide which pages clients see: a page is hidden from clients until someone chooses Share with clients. Clients can read shared pages but not change them.

Pinning and the overview

Pin up to three pages to the project dashboard. The dashboard's About this project card holds a short overview, goals, client contacts and useful links (links must start with https://; up to 10 contacts and 12 links). People who manage the project edit the card; everyone else on the team reads it. The pinned pages appear below it, and nothing is shown there until a page is pinned.

Finding a page

Press Ctrl K (⌘K on a Mac) or use Search and type part of a page's title or wording. Matches are listed under Pages. You only see pages from projects you belong to; archived pages are left out.

Logins

Don't store passwords in pages. Note where a login lives (your password manager) and who can grant access.

Good to know

  • Task links. Type a task reference (for example DQS-12) followed by a space, or paste a link to a task in this project, and it becomes a chip showing the task's title and stage. People who can't see that task see "A task you can't see" instead.
  • History. Open History under a page to preview an earlier version before you restore it. Restoring keeps the current wording in history too.
  • Two people editing. If someone saves while you are editing, your text stays in the editor and theirs is shown above it. Choose Keep mine or Use theirs.
  • Markdown and print. Use Markdown in the toolbar to download a page as a .md file, or Print for a clean printed copy.
  • Clients. People with a client role open shared pages at your project address + /docs/shared. They can read, print and download pages you have shared, and nothing else.
  • On a phone. The page list sits behind the Pages button above the page.
