About these terms
These terms are between you and Taskshire (“we”, “us”), [registered address], and cover your use of Taskshire: the website, the app, the API and the help centre. You accept them by ticking the box when you create an account, or by continuing to use the service after we update them. If you are setting up a workspace for a company, you confirm you are allowed to accept these terms for it, and “you” includes the company.
Our Privacy Policy, Cookie Policy and, for workspaces, the Data Processing Agreement form part of this agreement. Version: 2026-10.
Your account
- You must be at least 16 and give accurate details. One account per person; don’t share passwords.
- You are responsible for what happens under your account. Use a strong password, consider two-step sign-in, and tell us straight away at security@taskshire.co.uk if you think someone else has access.
- API tokens, calendar links and request-form links act as you or your workspace. Keep them secret and revoke any that leak.
Workspaces and roles
Work is organised into workspaces (we also call them guilds) and projects. A workspace owner controls its members, settings, integrations, billing, export and deletion, and is responsible for how the workspace is used and for having the right to invite the people it invites. Admins and members have the permissions their roles give them. Clients and approvers you invite through links see only what you share with them. Limits on the free plan (such as how many workspaces you can own and how many projects each holds) are shown in the app and may change with notice.
Your content
- Everything you or your workspace put into Taskshire stays yours. We claim no ownership of it.
- You give us permission to store, process, back up, display and transmit it as needed to run the service for you, including to the integrations and AI features your workspace turns on. That permission ends when the content is deleted, subject to the retention periods in the Privacy Policy.
- You are responsible for having the rights to anything you upload or connect, and for not uploading anything unlawful.
- AI features produce suggestions. You review them before anything is applied, and you are responsible for what you publish or act on.
- Points, XP, levels, trophies and other game elements are for fun. They have no monetary value and may be reset or changed.
Acceptable use
Don’t use Taskshire to break the law, infringe anyone’s rights, harass people, spread malware, or send unsolicited messages (including through request forms, invitations, chat integrations or publishing channels). Don’t try to get round security, rate limits or plan limits, probe other people’s data, scrape the service, resell it, or impersonate someone. Don’t use the API in a way that harms the service for others. We may remove content or suspend accounts that break these rules, and we will tell you why unless the law or safety prevents it.
Free plan and Town Planner
- The core service is free: boards, tasks, roles, notifications, integrations and your own character. The free plan never charges anything.
- Town Planner is an optional subscription for a whole workspace, bought by its owner in Workspace settings → Plan & billing. Payment is by card through Stripe. The price, currency, billing period (monthly or yearly) and any trial are shown on that page before you confirm, and on your Stripe receipt.
- Subscriptions renew automatically at the end of each period until cancelled. You can cancel at any time from the billing page or Stripe’s customer portal; Town Planner stays on until the end of the period you have paid for, and there are no further charges.
- Apart from where the law requires it, we don’t refund part-used periods. If a payment fails, Stripe retries it; if it keeps failing, the workspace returns to the free plan and keeps its data.
- We will give at least 30 days’ notice by email before a price change affects an existing subscription. Prices include UK VAT where it applies; outside the UK, local taxes may be added.
- Taskshire is built for business use. If you buy as a consumer, nothing here takes away rights you have under UK consumer law.
Integrations, API and webhooks
Slack, Microsoft Teams, Discord, Google Chat, Google and Microsoft sign-in, social publishing, Zapier, Make and anything else you connect are run by other companies under their own terms. We are not responsible for them, and you can disconnect them at any time. Our REST API and webhooks are provided as described in the API reference; tokens act as the person who created them with the same permissions, requests are rate limited, and we may change the API with reasonable notice (and without notice to fix a security problem).
Availability and changes
We work to keep Taskshire available and improving, but we don’t promise it will be uninterrupted or error-free, and we don’t offer a service-level agreement on the free plan or Town Planner. We may add, change or retire features. If we retire something a paid workspace relies on, we will give reasonable notice and, where fair, a pro-rata refund of the unused period.
Ending the agreement
- You can delete your account at any time from your Profile. A workspace owner can export the workspace first from Workspace settings, and should hand ownership to someone else or delete the workspace before leaving.
- We may suspend or close an account that breaks these terms, is used for fraud or abuse, or has not paid, giving notice where we reasonably can.
- When the agreement ends, your right to use the service ends and your data is handled as described in the Privacy Policy (projects purged 30 days after deletion). Sections that by their nature should survive, such as liability and governing law, continue.
Intellectual property
The software, the town, the characters, the artwork, the name Taskshire and the design of the service belong to us or our licensors. These terms don’t give you any rights in them beyond using the service. Feedback you give us may be used to improve the service without obligation to you.
Liability
Nothing in these terms limits liability that cannot be limited under UK law, including for death or personal injury caused by negligence, or for fraud. Subject to that:
- the service is provided “as is”; we exclude implied warranties to the extent the law allows;
- we are not liable for indirect or consequential loss, lost profits, lost business, or loss of data that you could have avoided by exporting or backing it up;
- our total liability to you or your workspace in any 12-month period is limited to the amount you paid us in that period, or £100 if you paid nothing.
You will cover us against claims that arise from your content or from your breach of these terms, to the extent they are your fault.
Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction, except that consumers in Scotland or Northern Ireland may bring claims in their local courts.
Changes to these terms
We may update these terms. For changes that affect you materially we will give at least 14 days’ notice by email or in the app, and we will record a new version number at the top. Using the service after a change takes effect means you accept it; if you don’t, stop using the service and delete your account before then.
