Time tracking and budgets

Track time on tasks with a timer or by hand, fill in your weekly timesheet, and keep an eye on the hours budget for a project.

Who this is for: Everyone who uses Taskshire.

Tracking time on a task

Open a task and find the Time panel.

  • Estimate – type how long the task should take, such as 2h 30m, 1.5h, 90m or 2d, then click away to save. Anyone who can edit the task can set it.
  • Start timer – starts the clock on this task. You have one timer at a time, so starting another stops the first and saves its time.
  • Add time – pick a date, type a duration and an optional note, then choose Add time. Untick Billable if the time should not be charged.

The panel shows how much has been tracked against the estimate, and turns red when the task goes over.

Changing or removing time

Next to each entry choose Edit to change its date, start time, duration, note or whether it is billable, or Delete to remove it. You can change your own time. Project admins can change anyone's, and those changes are recorded in the project's audit log.

If the new time overlaps something you have already logged, you are warned first. Choose Save anyway if it is right.

Your timesheet

Timesheet shows your week, Monday to Sunday in your own timezone, across every project you track time on.

  • Click a cell to add time for that day, or to edit what is there.
  • Use the arrow keys to move between cells, Enter to open one and Esc to close it.
  • Add a row by choosing a project and, if you like, searching for a task by title or reference.
  • Copy last week's rows brings over the same projects and tasks, without the hours.
  • The bottom row shows each day's total against your daily target, and the week's total.

If you leave a timer running

A timer left running for 10 hours is stopped for you. You will see You left a timer running on your timesheet. Choose Fix the time to enter what you really worked, or keep the 10 hours.

The project's time page

Each project has a Time page. You see your own time there. Project admins see everyone's, along with rates and amounts.

Admins can:

  • filter by date range (this week, last week, this month, last month, or any dates), person, task, label, campaign and billable or not
  • group totals by person, task, label, campaign or week, and compare estimates with actual time
  • Export CSV for invoicing, and tick Lock exported entries so exported time cannot be changed afterwards (an admin can Unlock an entry later)
  • set an hours budget for the whole project or for each month, hourly rates, and when to be told the budget is nearly used, under Time settings

Budgets

When a project has a budget, a card shows the hours used and what is left. Project admins are told once when each alert level, such as 80% or 100%, is reached.
