What you get
- Updates in a Discord channel as work moves: new tasks, sign-off requests, finished work and more. You choose which.
- A tidy message for each update, with a link that opens the task.
- An optional morning summary of what’s overdue, due today and waiting for sign-off.
There are two ways to connect. Both post the same updates. The Discord app can do more.
| What’s different | Add to Discord | Use a link |
|---|---|---|
| Approve or request changes from Discord | Yes | No: the link opens Taskshire |
/taskshire commands |
Yes | No |
| @mentions the right people | Yes, once they’ve linked their account | No |
| When you can use it | When the Discord app is set up on your Taskshire | Always |
If you see an Add to Discord button on the Integrations page, use that. If you only see Connect, use a link.
Taskshire never pings @everyone, @here or a role. With the Discord app, it only mentions the people a message is about (for example, who it’s assigned to), and only if they’ve linked their Discord account.
Who can set it up
- In Taskshire: a project admin.
- In Discord: someone who can manage the server. To use a link you need the Manage Webhooks permission. To add the app you also need Manage Server. Server owners and admins have both.
Option 1: Add to Discord
- In your project, select Tools → Integrations.
- On the Discord card, select Add to Discord.
- Discord opens. Choose the server, then the channel Taskshire should post to.
- Select Authorise.
- You’re taken back to Integrations. The channel appears under Connected channels, and a hello message arrives in Discord.
- To change what gets posted, select Edit on the channel. See Choose what to post.
Link your Discord account first
Before you can approve work or use the commands, link your Discord account to Taskshire. You only do this once, and it works in every server. See Link your chat account.
If you press a button before linking, nothing changes in Taskshire. Discord shows you a private message with a button to link your account.
Approve or request changes
When work needs sign-off, the message has Approve and Request changes buttons.
- Approve signs off the task as you, just as if you’d done it in Taskshire. The task moves on and the message updates.
- Request changes asks What needs to change? Type your comment and send it. The task goes back with your comment on it.
Request changes only shows when that stage lets work be sent back. You can only approve what you’re allowed to approve in Taskshire. If you can’t, Discord tells you why, privately.
Client sign-off stages don’t have buttons. Clients approve through their own review link.
Slash commands
Type /taskshire in a channel and choose a command. Only you see Taskshire’s answer.
| Command | What it does |
|---|---|
/taskshire new |
Adds a task to the project this channel gets updates from. Type the task’s name in the title box. |
/taskshire mine |
Lists the open tasks assigned to you. |
/taskshire help |
Shows what Taskshire can do in Discord. |
New commands can take a few minutes to appear in a server.
Option 2: Use a link
A webhook link is a private web address that lets Taskshire post into one channel. Treat it like a password.
- In Discord, open your server. Select the server name at the top left, then Server Settings.
- Select Integrations, then Webhooks. (If you’ve never made one, select Create Webhook.)
- Select New Webhook. Discord makes one with a random name.
- Select the new webhook. Change its name to “Taskshire” and choose the channel.
- Select Copy Webhook URL.
- If Discord shows Save Changes, select it.
- In Taskshire, open Tools → Integrations and select Connect on the Discord card. (If you also see Add to Discord, select Use a link instead.)
- Paste the link into Webhook link, then give it a Channel name, such as
#updates. - Choose what to post, then select Connect Discord.
The link looks like https://discord.com/api/webhooks/123…/abc….
Choose what to post
Under Post a message when…, tick what the channel should hear about. The recommended choices are ticked for you: New tasks, Work needs sign-off, Changes are requested, Work is done or published, Publishing fails and Tasks become overdue.
To change them later, select Edit on the channel. The integrations overview explains every choice, plus boards and the morning summary.
Discord doesn’t support threads for these messages, so each update is a new message.
Troubleshooting
Nothing arrived
- Under Connected channels, check the channel says On, then select Send test.
- Select Recent messages to see whether the message was Delivered or Failed, and why.
- Check what’s ticked under Post a message when…, and which boards are ticked.
- In Discord, check the webhook is still listed under Server Settings → Integrations → Webhooks, and that it points at the right channel.
- If Discord is busy, it may ask Taskshire to slow down. Taskshire waits and tries again by itself.
It says “Stopped”
Discord told Taskshire the link doesn’t work any more, or 10 messages in a row failed. Usually the webhook or the channel was deleted, or the Taskshire app was removed from the server.
- Using a link: make a new webhook, connect it, and Disconnect the old channel.
- Using Add to Discord: select Add to Discord again and choose the same channel. Taskshire turns the existing channel back on, keeping your choices.
I want to change the channel
With a link, you can move the webhook in Discord and keep the same link:
- Open Server Settings → Integrations → Webhooks and select the Taskshire webhook.
- Choose the new channel and select Save Changes.
- In Taskshire, select Edit on the channel and update its name.
With Add to Discord, select Add to Discord again and choose the new channel. Then Disconnect the old one.
The buttons ask me to link my account
You haven’t linked your Discord account yet. Use the button in the message, or see Link your chat account. Then press the button again.
