Add Taskshire to your calendar

See publish times and due dates in Google Calendar, Outlook or Apple Calendar, alongside your meetings.

Who this is for: Everyone who uses Taskshire.

What you get

Your calendar feed puts Taskshire’s publish times and due dates into the calendar you already use. Your calendar app checks the feed regularly, so it keeps itself up to date.

  • It shows work from all the projects you’re in, or just one project.
  • Each entry says which task it is, which project it’s in, its status and a link to open it.
  • It covers the last 60 days and just over a year ahead.
  • It’s read-only. Changes in Taskshire show up in your calendar, but changing an entry in your calendar doesn’t change Taskshire.

Who can set it up

Anyone with a Taskshire account. Each person has their own feed, and it only shows work they can see in Taskshire.

  1. Open a calendar in Taskshire: select Calendar in your project, or Planning → All-project calendar in the main menu.
  2. Select More, then Subscribe in your calendar app.
  3. Select Create my feed address.
  4. Under Projects, choose All my projects or a single project.
  5. Untick Include due dates if you only want publish times.
  6. Select Copy.

Warning

Your feed address is shown only once. Copy it now and paste it straight into your calendar app (see below). Taskshire only keeps a fingerprint of it, so it can’t show it to you again. If you lose it, make a new one. See Keep your link private.

Want a separate calendar for each project? While the address is showing, choose a project, select Copy and subscribe. Then choose the next project and do the same.

Subscribe in your calendar app

Google Calendar

Do this on a computer. The Google Calendar phone app can’t add a calendar from a link, but it shows the calendar once you’ve added it.

  1. Open calendar.google.com.
  2. On the left, next to Other calendars, select +.
  3. Select From URL.
  4. Paste your feed address and select Add calendar.

The calendar appears under Other calendars. Google can take up to a day to show changes, and it decides how often to check. Taskshire can’t make it faster.

Outlook

In Outlook on the web or the new Outlook app:

  1. Open your calendar.
  2. Select Add calendar.
  3. Choose Subscribe from web.
  4. Paste your feed address, give the calendar a name such as “Taskshire” and select Import.

In the classic Outlook app for Windows, go to Home → Add Calendar → From Internet, paste the address and select OK.

Outlook usually checks for changes every few hours.

Apple Calendar

On a Mac:

  1. Open Calendar.
  2. Choose File → New Calendar Subscription.
  3. Paste your feed address and select Subscribe.
  4. Set Auto-refresh to Every hour (or more often).
  5. To see it on your iPhone and iPad too, set Location to iCloud.
  6. Select OK.

On an iPhone or iPad, open Settings, go to the Calendar settings (under Apps on newer versions), then Calendar Accounts → Add Account → Other → Add Subscribed Calendar. Paste the address and select Next, then Save.

How quickly it updates

Taskshire’s feed is always up to date, but your calendar app decides how often to check it:

  • Apple Calendar: as often as you choose, down to every few minutes.
  • Outlook: usually every few hours.
  • Google Calendar: it can take up to a day.

For anything urgent, check Taskshire itself.

Anyone who has your feed address can see the titles, times and projects in your feed. Don’t share it, and don’t add it to a calendar that other people can see unless they’re allowed to see that work.

If your link gets out, make a new one:

  1. Select More → Subscribe in your calendar app.
  2. Select Make a new address. The old address stops working straight away.
  3. Copy the new address and subscribe again. Remove the old calendar from your calendar app.

To stop the feed completely, select Turn off instead.

Troubleshooting

Nothing shows in my calendar

  • Wait a while. Google Calendar in particular can take up to a day.
  • Only tasks with a publish time or a due date appear. If you unticked Include due dates, only publish times show.
  • If you chose a single project, only that project’s work shows.

The times look wrong

Taskshire sends times with their timezone, and your calendar shows them in your own time. Check the timezone setting in your calendar app.

It stopped updating

Someone (probably you) made a new address or turned the feed off, so the old address no longer works. Make a new address and subscribe again. It also stops showing a project’s work if you leave that project.

I want to change which projects it shows

You can’t change an address once it’s made. Make a new address, choose the projects, and subscribe again. Remember that making a new address stops every old one, including any per-project ones.
