Turn emails into tasks

Give a board its own email address, forward an email to it and it becomes a task. You can also reply to notification emails to add a comment.

Who this is for: Everyone who uses Taskshire.

What it does

  • Email a board. Every board can have its own private email address. Send or forward an email to it and a task appears in the board's first stage.
  • Reply to a notification. When Taskshire emails you about a task, just reply. Your reply is added to the task as a comment from you.

Turn it on for a board

You need to be a project admin.

  1. Open Project settings → Email.
  2. Find the board and choose Turn on email-to-task.
  3. Copy the address and save it as a contact, or set up a forwarding rule in your mailbox.

If the page says email isn't set up on this server yet, ask whoever runs your Taskshire to connect an email provider.

What ends up in the task

Subject Title ("Fwd:" and "Re:" are removed)
Message Brief. Formatting such as bold, lists and links is kept; images in the text, signatures and old quoted replies are removed. A forwarded message keeps the email it forwards.
Attachments Files on the task. The usual size and file type limits apply; tiny images such as logos and tracking pixels are skipped.
Sender The person who created the task, matched by email address

Who can send

Each address has a setting:

  • Project members only (the default). Send from the email address you sign in with. Anything else is refused.
  • Anyone with the address. Emails from other people become tasks too, marked "Via email from" with their address, and created in the name of the team member you pick.

Treat the address like a password. If it gets out, choose Get a new address: the old one stops working straight away.

Replying to notification emails

  • Write your reply above the quoted message and send. Your signature and the quoted text are left out.
  • The reply address in each email works for 30 days and only for that task and for you. After that, open the task to comment.
  • If your role can't comment on the task, you'll get a short email back explaining why.

Checking what arrived

Project settings → Email lists the most recent emails and whether each was Delivered, Refused (with the reason) or Ignored. Automatic replies such as out-of-office messages are ignored on purpose.

To test it, send the address a short email from your own account. It should show as Delivered within a minute, and you'll get a confirmation email with a link to the new task (you can switch that confirmation off per board).
