Client logins

Give a regular client contact their own sign-in, so they can see what needs their sign-off and what is coming up without waiting for an email link.

Who this is for: Project admins: the people who can change a project’s settings. You can also send this page to whoever looks after your company’s chat or IT tools. They don’t need a Taskshire account to read it.

What a client login is

Clients can sign things off in two ways.

  • An approval link. When you ask for sign-off, the client gets an email with a private link. They open it, look at the work and approve it or ask for changes. They need no account and no password. This suits someone who signs off now and then.
  • A client login. The client has their own account. They sign in whenever they like and land in a small client area that shows the projects you have invited them to. This suits a contact you work with every week.

The two work together. A client with a login still gets the approval emails, and the links in them still work.

Invite a client contact

  1. Open the project and go to People & access (in project settings).
  2. Under Invite someone, enter the client's email address and pick a client role (one marked as external, such as External approver).
  3. The client gets an email. They choose a name and a password, and their account is ready.

Only give client roles to client contacts. Anyone with a team role on a project is treated as a member of your team, not a guest.

To take a client's access away, remove them in People & access. Their client area closes straight away.

What a client can see

For each project they are invited to, a client sees:

  • Waiting for your sign-off – the items you have sent for their approval.
  • Coming up – the project's calendar for the next few weeks: titles, dates, times and channels, with a simple status such as Scheduled or Awaiting your approval.
  • Recently signed off and published – what they approved and what went out in the last 30 days.
  • Latest shared comments – only comments your team marked as shared with the client.
  • Pages shared with you – any project pages you have marked as visible to the client.

What a client cannot see

  • The board, task pages, files, reports, time and project settings.
  • Internal comments. Only comments marked as shared ever appear.
  • Anything on a private board.
  • Other projects, unless you invite them to those too.
  • Who a task is assigned to, or your internal stage names.

The client area is read-only. The one thing a client can do there is sign work off.

How a client signs things off

  1. They sign in and open the project.
  2. Under Waiting for your sign-off they choose Review next to one item, or Review and sign off all.
  3. The usual review page opens. They approve, or ask for changes and leave a comment, exactly as they would from an email link.

Your team is told about each decision in the usual way.
