What you get
Taskshire alerts people in the app and by email: when work is assigned to them, when something needs their sign-off, and so on. A personal alert webhook also sends a person’s alerts to a chat of their choice, so they see them where they already work.
This is different from a team channel:
- Team channels (set up under Integrations) post project updates for everyone in the channel. See Connect Taskshire to your team’s tools.
- Personal chat alerts are the alerts one person gets, sent to a chat that’s just for them.
What’s a personal alert webhook?
A webhook link is a private web address that lets Taskshire post into one chat or channel. A personal alert webhook is one that belongs to one person on one project.
It works with links from Slack, Microsoft Teams, Discord and Google Chat, and Taskshire formats each alert to suit that tool. Any other https:// link gets a simple message, which is handy for tools like Zapier or Make.
Treat the link like a password: anyone who has it can post into that chat.
Who can set it up
A project admin. They add the link when they invite someone, or later from the members list, and choose which alerts go to chat on the Alerts tab.
If you’d like your alerts in chat, get a link (see Get a link for each tool) and send it privately to your project admin.
Add one when inviting someone
- Open the project, then Project settings → Members. (Or select Tools → People & access.)
- Under Invite someone, enter their Email address and choose a Role.
- Paste their link into Alert webhook (optional).
- Select Send invitation.
Add or change one for someone who’s already joined
- Open the project, then Project settings → Members.
- Find the person in the list and select Alert webhook next to their name. (It shows a tick when they already have one.)
- Paste the link and select Save. To stop their chat alerts, select Remove webhook instead.
Choose which alerts go to chat
- Open Project settings and select the Alerts tab.
- Each role has a table of alerts, with three columns: In app, Email and Personal chat.
- Tick Personal chat next to each alert that should also go to chat.
This applies to everyone in that role who has a personal alert webhook. People without one aren’t affected.
A chat alert goes out alongside the in-app or email alert, so keep In app or Email ticked too. If someone mutes an alert in their notification preferences, they won’t get it in chat either.
Get a link for each tool
Follow the guide for the tool, but make the link for a place that’s just for that person:
- Slack: create an incoming webhook (see Connect Slack, option 2) and choose a private channel just for you.
- Microsoft Teams: create a workflow (see Get a link from Teams). To get alerts in a chat rather than a channel, look for the template Send webhook alerts to a chat.
- Discord: create a webhook (see Connect Discord, option 2) in a private channel only you can see.
- Google Chat: create a space with just you in it, then add a webhook (see Get a link from Google Chat). This needs a work or school account.
Troubleshooting
Nothing arrived
- On the Alerts tab, check Personal chat is ticked for that alert and that person’s role, and that In app or Email is ticked too.
- Check the person hasn’t muted that alert, or the whole project, in their notification preferences.
- Check the link still works: for example, that the Slack webhook or Discord webhook hasn’t been deleted, or that the Teams workflow is still turned on.
- Personal alerts don’t appear in a project’s Recent messages. If one goes missing, the alert is still in the app (and in email, if that’s ticked).
It says “Stopped”
Personal alerts don’t have a status. If you see Stopped on the Integrations page, that’s a team channel. See When Taskshire stops posting.
I want to change the channel
- Discord: move the webhook to another channel in Server Settings → Integrations → Webhooks. The link stays the same, so nothing changes in Taskshire.
- Slack, Microsoft Teams and Google Chat: a link always posts to the same place. Get a new link for the new channel, then replace it from the members list (see Add or change one for someone who’s already joined).
